Use Cases for Welcome Messages

5 Min Read·Updated 2026·Meta Official API

The Welcome Message is a powerful first impression. It's the first automated message a new contact receives when they message you. A well-crafted welcome message can set expectations, provide immediate value, and guide the customer.

You can configure your Welcome Message in Automations > Auto Replies.

Use Case 1: Standard Greeting and Setting Expectations

This is the most common use case. It assures the customer their message was received and tells them when to expect a human response.

  • Message Content: "Thanks for contacting [Your Business Name]! We've received your message and one of our agents will get back to you within the next 15-30 minutes. Our business hours are M-F, 9 AM - 5 PM."
  • Why it works: It provides immediate confirmation and manages expectations about response times, reducing customer anxiety.

Use Case 2: Lead Qualification

If you receive many new inquiries, you can use the welcome message to gather information and qualify the lead before an agent even steps in.

  • Message Content: "Hi! Thanks for your interest in our services. To help us connect you with the right person, could you please let us know what you're interested in?"
  • Buttons (Template): Use a pre-approved template with Quick Reply buttons like "Sales Inquiry," "Product Support," or "General Question."
  • Why it works: It segments incoming chats automatically, allowing you to prioritize high-value conversations.

Use Case 3: Providing Instant Self-Service Options

You can deflect common queries by guiding users to help resources immediately.

  • Message Content: "Welcome to [Your Business Name]! While you wait for an agent, you might find an answer in our Help Center. What can we help you with today?"
  • Buttons (Template): Use Quick Reply buttons that link to your most common support topics, such as "Track My Order," "Return Policy," or "FAQs."
  • Why it works: It empowers customers to find their own answers, which can resolve their issue instantly and reduce the workload on your support team.

Best Practices

  • Keep it concise: Get to the point quickly.
  • Be friendly and professional: Match your brand's tone of voice.
  • Don't ask for sensitive information: This is an automated, initial contact.
  • Always provide a path to human support: Make it clear that an agent will follow up if needed.
